Vight for Zoom Phone

Vight is an AI platform built for Managed Service Providers (MSPs): it transcribes and summarizes client calls, turns them into ticket notes and time entries in your PSA, and keeps a searchable record of everything discussed with every client. The Vight app for Zoom Phone connects your Zoom account so that recorded Zoom Phone calls flow into Vight automatically. This guide covers adding the app, using it, and removing it.

Before you start

  • A Zoom account on a Pro plan or higher with Zoom Phone licenses. Zoom's phone recordings API is not available on free accounts.
  • You must be a Zoom account owner or admin. This is an admin-managed app, so it is installed once for the whole account rather than per user.
  • Call recording enabled in Zoom for the users, call queues, or sites whose calls you want documented. Vight reads recordings that Zoom has already made; it does not start or change recording. Recording policy stays entirely under your control in the Zoom admin portal.
  • A Vight account. If you do not have one, start a free trial.

What the app accesses

Vight requests read-only access to four areas of Zoom. It cannot change, delete, or create anything in your Zoom account.

Vight does not access Zoom Meetings, chat messages, contacts, or recordings from any product other than Zoom Phone.

Adding the app

  1. Sign in to Vight at app.vight.ai as a Vight administrator.
  2. Open Integrations and choose Zoom Phone.
  3. Select Connect. You are redirected to Zoom to sign in.
  4. Review the permissions Zoom displays and select Allow. You must be signed in to Zoom as an account owner or admin for the option to appear.
  5. You are returned to Vight and the integration shows as connected.
  6. Open Members in Vight and confirm your Zoom Phone users have been matched to the right Vight members. Vight matches on email address; anyone it could not match can be linked manually.

You can also start from the Zoom App Marketplace: find Vight, select Add, approve the permissions, and you will be sent to Vight to sign in and finish linking the connection to your organization.

Once connected, Vight begins polling for new recorded calls. A call is usually processed within a few minutes of Zoom finishing the recording. Only calls recorded after you connect are ingested.

Using the app

There is nothing to run day to day. Once connected, each recorded Zoom Phone call is picked up automatically and passed through the features you have enabled in Vight.

Automatic call documentation

Every recorded call is transcribed and summarized. Vight matches the call to the right client and, where you have connected a PSA such as ConnectWise or HaloPSA, writes the ticket note and time entry for you. Use case: a technician finishes a support call and the ticket is already documented when they open it.

AI apps on call transcripts

Configure AI apps under AI Apps to run on each call: customer sentiment, IT support summaries, coaching scores, sales-opportunity detection, after-hours escalation, and more. Results can be delivered to Microsoft Teams, Slack, or your PSA. Use case: an alert in Teams whenever a client call registers strongly negative sentiment.

Search and reporting

Zoom Phone calls appear in the Vight call list and client detail pages alongside calls from every other phone system you have connected, and are searchable by client, technician, date, and content. Use case: finding what your team told a client about a renewal three months ago.

Excluding sites

If your Zoom account contains sites whose calls are not yours to process, open the Zoom Phone integration in Vight and exclude them. Calls from excluded sites are skipped and never ingested.

Adjusting who is captured

Which calls reach Vight is determined by your Zoom recording policy. To stop capturing a particular user, call queue, or site, turn off recording for them in the Zoom admin portal.

Removing the app

There are two ways to stop Vight from accessing Zoom.

Disconnect in Vight (recommended)

  1. Sign in to app.vight.ai as a Vight administrator.
  2. Open Integrations, select Zoom Phone, and choose Disconnect.

Vight discards its stored Zoom credentials and stops pulling new calls immediately. Calls already processed stay in Vight, so your existing documentation, ticket notes, and history remain intact.

Remove from Zoom

  1. Sign in to the Zoom App Marketplace as an account owner or admin.
  2. Select Manage, then Added Apps, and search for Vight.
  3. Select Remove and confirm, choosing whether your data may be retained when Zoom asks.

What happens after removal

  • Vight immediately loses all access to your Zoom account and stops ingesting new calls. Any Zoom Phone call recorded after removal is not captured.
  • Call documentation, ticket notes, and time entries already written to your PSA are unaffected. They live in your PSA, not in Zoom.
  • Calls already processed remain in Vight and stay searchable, unless you decline data retention when Zoom prompts you during removal, in which case Vight deletes the recordings, transcripts, and Zoom user records associated with your account within ten days, in line with Zoom's requirements.
  • You can request deletion of your data at any time, whether or not the app is installed, by contacting privacy@vight.ai.
  • Reinstalling later restores access, but Vight only ingests calls recorded after the app is reconnected.

Data handling and security

  • User and call records. Zoom user details (user ID, name, email, extension) and call metadata (numbers, direction, time, duration) are stored in Vight's PostgreSQL database on AWS, encrypted at rest with AES-256.
  • Recordings and transcripts. Audio and transcripts are stored in a private Amazon S3 bucket with AES-256 server-side encryption and no public access.
  • Credentials. The authorization tokens Zoom issues are additionally encrypted at the application level with AES-256-GCM before being written to the database, using a key held outside it.
  • In transit. All communication with Zoom uses TLS.
  • Isolation. Data is segregated per customer organization; no other Vight customer can see your calls.
  • Retention. You configure how long Vight keeps recordings and transcripts. A daily job permanently deletes anything past that window.
  • AI processing. Vight works with third-party AI providers under their enterprise terms; your data is not used to train their models. Vight does not sell call data to third parties.

Troubleshooting

The Allow button did not appear, or Zoom said I am not permitted to add the app.

This app is admin-managed, so it must be approved by a Zoom account owner or admin. Ask an administrator to complete the connection, or have them pre-approve Vight in the Zoom App Marketplace under Manage → Permissions.

The app connected, but no calls are appearing.

Check that call recording is actually enabled in Zoom for the users or call queues you expect, and that a recorded call has taken place since you connected. Vight does not backfill calls recorded before installation. Also confirm the site those users belong to has not been excluded in the Vight integration settings.

Calls appear, but they are not assigned to the right person.

Vight matches Zoom Phone users to Vight members by email address. Open Members in Vight to link any user whose Zoom email differs from their Vight email.

Some calls are missing while others arrive.

Zoom only exposes calls it recorded. Calls that rang but were never answered, or users without recording enabled, produce no recording and so cannot be ingested.

The integration shows an authorization error.

This usually means the app was removed from Zoom, or the authorization was revoked. Reconnect from Integrations → Zoom Phone in Vight.

Frequently asked questions

Does Vight record calls for me?

No. Vight reads recordings that Zoom has already made under your own recording policy. Enabling or disabling recording is done in the Zoom admin portal and remains entirely your decision.

Can Vight change anything in my Zoom account?

No. Every permission requested is read-only. Vight cannot modify settings, users, recordings, or policies in Zoom.

Do I need a paid Zoom plan?

Yes. Zoom's phone recordings API requires a Pro plan or higher with Zoom Phone licenses.

Does Vight see Zoom Meetings or Zoom chat?

No. This app is scoped to Zoom Phone only.

Is a Vight subscription required?

Yes. The app is free to install from the Zoom App Marketplace, but it requires an active Vight account. See pricing.

Are AI-generated summaries always accurate?

No. Vight uses large language models to generate summaries and insights, and AI-generated content can be inaccurate or incomplete. Verify important information before acting on it.

Can I use Zoom Phone alongside another phone system?

Yes. Vight supports several call sources at once, and calls from all of them appear together in one history.
